CRM User Manual: Takeoff/Bid Management, Lesson 4: Presentation

Presentation

MeasureSquare CRM gives you extensive control over how your Bids and related documents look and feel. With the right setup, your team can create polished, professional proposals that require minimal effort during day-to-day estimating.

This section outlines the three levels of bid customization—ranging from simple display settings to full HTML control—and how to efficiently manage templates across your organization.

1. Templates: The Foundation of Your Proposal Design

The Bid Template is the core of your proposal’s presentation. MeasureSquare CRM’s Bid module includes a flexible template editor that allows you to:

  • Create multiple template variations

  • Standardize branding and content

  • Avoid redundant formatting work

  • Enable team-wide consistency

Once your template is perfected, your team can “set it and forget it,” producing clean, consistent proposals on every project without manual adjustments.

Customization Level 1 — Bid “Design” Settings

The Design menu allows you to make quick, visual adjustments to your bid using simple toggles and sliders. These settings are ideal for day-to-day customization or quick on-the-fly adjustments.

Key Design Options Include:

  • Merge Addons
Roll up accessory or addon products into their parent product line for a cleaner proposal.

  • Group or summarize products
Roll products into their Trade, Phase, or Tab categories to simplify the bid layout.

  • Worksheet Material Details (bottom-right of the Design screen)

    • Turn individual columns on or off

    • Relabel column headings

    • Adjust the level of detail shown to the client

These settings are perfect for quick edits or situations where project-specific adjustments are needed without modifying the base template.

To access this menu, simply click from the Bid Preview tab of any bid.

Customization Level 2 — The ‘Content’ Menu

If Design settings alone don’t provide the layout you need, the Content menu allows deeper control over the structure of your proposal.

The Bid Design screen behaves much like a word processor—you can click directly into the document to:

  • Add text

  • Remove sections

  • Rearrange elements

  • Modify layout blocks

Inserting Dynamic Data (Variables)

You can enhance your template by inserting live data fields that automatically populate based on project details.

To insert a data point:

  1. Click into the proposal where you want the variable to appear

  2. Open the Content menu

  3. Choose the desired data field from the list

This inserts a variable placeholder that will automatically display the correct information from the CRM for each project.

This approach lets you build intelligent, dynamic templates that stay accurate without manual editing.

Customization Level 3 — HTML Source Code Customization

For maximum control—or highly branded, complex layouts—you can modify the HTML source code of your bid template.

Key Advantages of HTML Customization

  • Full control of layout and formatting

  • Ability to implement advanced styling

  • Support for custom fonts, borders, tables, headers, and more

  • Ideal for companies with strong brand standards or specific presentation requirements

Many users work with:

  • Freelance developers

  • Internal designers

  • Tools like ChatGPT

..to build visually polished, professional bid templates.

5. Sending Proposals to Multiple Customers

Once your proposal is perfected, you can easily duplicate and send it to multiple recipients. Each bid is tracked separately within the same project, allowing you to:

  • Keep client interactions organized

  • Track customer-specific pricing

  • Maintain a history of every proposal variation

This makes it simple to reuse your master proposal configuration while tailoring each bid to the appropriate customer.
