Change Orders

Change Order management can be one of the most impactful—and complex—parts of the project lifecycle. In many cases, it determines the profitability, accuracy, and long-term success of a job.

For small retail or residential work, Change Orders may be infrequent and often treated as separate estimates or invoices.
For commercial, multifamily, and new-construction projects, Change Orders are a constant reality—some projects require dozens of them before closeout.

MeasureSquare CRM is built to simplify both sides of this equation, from creating Change Orders to tracking, approving, and executing them.


1. Creating Change Orders

MeasureSquare CRM provides two main methods for generating Change Orders, depending on your workflow.

A. Automatic Change Order Creation (Recommended)

Using the Compare feature, you can generate a Change Order automatically by simply modifying your takeoff.

  • Update your Diagram as needed

  • Use the Compare tool to detect changes

  • Automatically generate a Change Order that captures:

    • Added products

    • Removed products

    • Quantity changes

    • Pricing adjustments

This method is ideal for commercial workflows because it eliminates guesswork and ensures accuracy.


B. Manual Change Order Creation

If needed, you can also create a Change Order manually by:

  • Typing in line items

  • Pulling products from your Products section

  • Adjusting pricing or quantities directly

This approach is useful when small adjustments are needed or when the Change Order does not require modifications to the takeoff diagram.


2. Managing Change Orders

The CRM is designed to make Change Order tracking straightforward and transparent.

Key Management Features:

  • Send and track Change Orders directly from the CRM

  • All Change Orders are summarized within the Project Page

  • The Dashboard displays aggregated Change Order totals

    • Note: Only Change Orders that have been Sent or Approved appear in Dashboard summaries

This makes it easy to see the financial impact of all revisions on a project at a glance.


3. Maintaining Versions & Options

MeasureSquare CRM allows you to save:

  • Duplicate Diagrams

  • Duplicate Change Orders

This is extremely useful when:

  • You want to preserve historical versions

  • You need to propose multiple options to the customer

  • You want to track each iteration of the contract separately

Every revision is saved and organized, ensuring you always have a complete record of project changes.


4. Approved / Accepted Change Orders

Once the customer approves a Change Order, MeasureSquare CRM automates the downstream workflow required to execute it.

Procurement

Automatically create Purchase Orders for all materials added through the Change Order:

  • Go to the Orders section

  • Generate Purchase Orders based on the Change Order’s Products


Installation

Automatically create:

  • Work Orders

  • Installation schedules

These are generated from the labor components of the Change Order through the Orders section.


Billing

Choose one of two billing strategies:

Option A: Create an Invoice Automatically

Use the Orders section to generate a dedicated invoice for the Change Order.

Option B: Add to Schedule of Values

Insert the Change Order into a progress billing application using the Schedule of Values (SOV) module. This flexibility allows commercial, multifamily, and residential teams to bill in whatever format their project requires.
