CRM User Manual: Takeoff/Bid Management, Lesson 5: Follow-Ups

Follow-Ups

Following up is one of the most critical steps in the sales process. Within MeasureSquare CRM, follow-ups go far beyond sending an email or setting a reminder—they help you manage relationships, document communication, and maintain a clear view of where every opportunity stands.

When your team uses the CRM to manage Bids, Quotes, and customer communication, a consistent follow-up process ensures that nothing falls through the cracks and that your clients always feel informed, supported, and prioritized.

1. Following Up Within a Bid

Following up on Bids and Quotes is essential for converting opportunities into awarded projects. MeasureSquare CRM provides tools that help your team stay organized and intentional in their communication.

2. Why Following Up Matters

A well-timed follow-up often determines whether a job is won or lost.

Benefits of consistent follow-ups:

  • Demonstrates professionalism

  • Builds trust and credibility

  • Keeps your proposal top-of-mind

  • Helps answer lingering questions

  • Creates momentum toward approval

  • Ensures customers don’t feel forgotten

Consistent communication is one of the easiest ways to differentiate yourself from competitors and increase your close rate.

3. Using CRM Tools for Follow-Ups

MeasureSquare CRM includes built-in features that make follow-ups easier, faster, and more consistent across your entire team.

Email Templates (“General”)

The Email Templates feature allows you to create reusable follow-up messages that can be customized for each customer. This saves time while ensuring your communication stays polished and consistent.

You can use these templates to:

  • Send a reminder after submitting a Quote or Bid

  • Check in on Bid status

  • Follow up after sending an update or revision

  • Share updated files or revised pricing

  • Re-engage customers who haven’t responded

To access and use these templates:

  1. Go to the Emails section within your Bid or Project

  2. Compose a new email

  3. Select a “General” email template

  4. Personalize as needed and send

This system ensures that follow-ups are easy to send, trackable inside the project, and consistent across your organization.
