The Financials modules in MeasureSquare CRM centralize your project costs, vendor charges, and financial reporting, giving you a complete view of profitability without switching between systems or juggling spreadsheets.

These modules include:

  • Bills

  • Expenses

  • Financial Tracking within each project

  • Upcoming WIP Reporting

Whether or not you use an external accounting platform like QuickBooks Online, MeasureSquare CRM keeps your financial picture clear, connected, and up to date.


1. Recording Bills

Bills help you track vendor charges—such as materials purchased or subcontracted labor.

Ways to Create a Bill

  • Create from scratch

  • Generate from a Purchase Order

  • Generate from a Work Order

When importing from a PO or WO, you can choose which line items to include for precise cost tracking.

Bill Details You Can Record

  • Vendor name

  • Bill date

  • Reference numbers

  • Payment terms

  • Material and labor line items (imported or manual)

  • Attachments (vendor invoices, receipts, photos)

  • Internal notes

All bills remain linked to their associated project for a complete audit trail.


2. Recording Expenses

Expenses cover standalone costs that are not tied to a Purchase Order or Work Order, such as:

  • Fuel

  • Permits

  • Parking

  • Miscellaneous materials

  • Equipment rentals

Expense fields include:

  • Expense name

  • Date

  • Vendor (optional)

  • Trade

  • Lump sum OR itemized entries

  • Tax status

  • Notes

  • Attachments (receipts, photos, etc.)

Expenses also stay connected to their project, ensuring nothing gets lost.


3. Project-Level Financial Tracking

All revenue and cost activity—Invoices, Bills, Expenses—is stored inside the project for quick review.

This gives you a unified financial snapshot without exporting data or maintaining external spreadsheets.


4. Accounting System Integrations

Currently supported:

  • Invoice + Payment syncing with QuickBooks Online

Coming soon:

  • Bills syncing

  • Expenses syncing

These additions will enable full end-to-end financial syncing for teams using QuickBooks Online.


5. Work in Progress (WIP) Report — Coming Soon

MeasureSquare is developing a powerful WIP Report designed to provide a complete financial overview of every project.

The report will include:

  • Contract amount

  • Scheduled value

  • Estimated profit

  • Cost to date

  • Percent complete

  • Over/under billing

  • Overall job financial health

The WIP report aggregates data directly from:

  • Invoices

  • Bills

  • Expenses

  • Change Orders

This eliminates manual spreadsheet calculations and gives your team high-level insights instantly.


6. Common Financial Q&A

What’s the difference between a Bill and an Expense?
Bills come from POs/WOs; Expenses are standalone costs.

Can I upload receipts for Bills and Expenses?
Yes, you can attach photos or documents to both.

Will Bills and Expenses sync to QuickBooks Online?
Not yet — but this feature is coming soon.

Do I need QuickBooks to use Financials?
No. All financial tracking works even without accounting integrations.

Can I generate financial reports?
Basic reporting is available now per project.
Full WIP reporting is coming soon.
