Invitation to Bid (ITB): Automated Project Creation in CRM

In this article, we will show how to automatically turn ITB emails into projects in MeasureSquare CRM. 

An ITB (Invitation to Bid) is a formal request inviting contractors or subcontractors to submit pricing for a specific project or scope of work. ITBs typically include key details such as the project name and location, scope of work, plans and specifications, bid due date, submission method, and contact information.

MeasureSquare CRM uses AI to automatically parse ITB emails and extract key project details such as the project name, jobsite, area, and description, then creates a project in the CRM without manual input. 

To set this up, please follow these steps:

Step 1: Hover on your profile name, and select Profile
Step 2: Go to Email 
Step 3: Enable Invitation To Bid
Step 4: This will automatically generate an ITB email address, which will be used to receive and parse Invitation to Bid (ITB) emails. 
Step 5: Select the default Pipeline and Stage for projects created through ITB emails. Then, select Save


Step 6: Forward any ITB emails to the ITB email address from Step 4. The format will always be xxx+crm_itb@xxx.com.

For example, if your CRM email is John@company.com, your ITB email address will be John+crm_itb@company.com 


Step 7: This will automatically parse the email content and create a project in the CRM using your selected pipeline and stage, populating key details such as the project name, jobsite, and description.



Step 8: The original ITB email is automatically saved and can be accessed from the Project Emails tab for reference.
