How to Create a Deposit Invoice in MeasureSquare CRM?

An invoice deposit is an upfront partial payment a customer makes before a seller delivers goods or completes a service.

Step 1: Set the deposit on the quote

The deposit is defined on the quote itself, so the quote must be saved with a deposit value before you can invoice it.

  1. Go to Sales > Quotes, open the quote and click Edit.
  2. Scroll to the totals section below the line items and find the Deposit field under Total.
  3. Enter the deposit value and pick the unit from the dropdown: % for a percentage of the quote total, or $ for a fixed amount.
  4. Click Save.

Notes
The percentage is calculated on the quote Total, which includes tax. In the example, 5% of $161,541.38 gives a deposit of $8,077.07.

Step 2: Create the deposit invoice

The deposit invoice is created from the quote's detail page and contains a single Deposit line.

  1. Open the quote's detail page and select the Orders tab in the right panel.
  2. In the Invoice row, click + Add.
  3. In the pop-up, select the Deposit tab.
  4. Tick the Deposit row (it shows the deposit amount, here $8,077.07) and click OK.
  5. The new invoice opens with one Deposit line item: quantity 1, unit EA, and the deposit amount as the sales price. The line carries no tax, because the deposit was already calculated on the tax-inclusive total.
  6. Check the Invoice Date, Due Date, Terms and, optionally, the Subject, then click Save.

Notes
After saving, the quote's corner ribbon changes from Draft to Deposit, and the Invoice row in the Orders tab shows a count of 1.

Step 3: Create the final invoice with the deposit applied

When the job is ready to bill, create the next invoice from the same quote; the CRM subtracts the deposit for you.

  1. On the quote's detail page, open the Orders tab and click + Add in the Invoice row again.
  2. In the pop-up, use the Detail tab (or Summary for grouped lines). All quote line items are checked by default; uncheck any you do not want to bill, then click OK.
  3. The invoice opens with the selected line items. In the totals, a Deposit Applied line shows the deposit as a negative amount.
  4. Review the invoice details and click Save.
